Southeast Minnesota Disaster Health Coalition (“Organization,” “We,” “Us,” “SEMNDHC”) respects your privacy and is committed to ensuring that your privacy and personal data are protected. This privacy policy describes the types of information we may collect from you or that you may provide when you visit the website www.semndhc.org (the “Site”) and utilize the Organization’s services (the “Services”), as well as our practices for collecting, using, maintaining, protecting, and disclosing that information.

- In email, text, and other electronic messages gathered or sourced for the purpose of using the Organization’s Services

Information We Collect and How We Collect It
Information You Provide Us. We may collect the following information from you when you use the Site:
- Information that you provide by filling in forms on the Site. This includes information provided at the time of registering for Services or requesting further services. Such information may include your name, employer, job title, and role, e-mail address, and phone number
- Records and copies of your correspondence if you contact us
- Records and copies of your correspondence with other Site users
- Your responses to surveys that we might ask you to complete for research purposes

Cookies (or browser cookies): A cookie is a small file that asks permission to be placed on your computer’s hard drive. Your Choices & Obligations
Data Retention
We may retain your personal data for a period of time consistent with the original purpose of collection. We determine the appropriate retention period for personal data based on the amount, nature, and sensitivity of your personal data, the potential risk of harm from unauthorized use or disclosure, and whether we can achieve the purposes of the processing through other means, as well as the applicable legal requirements (such as applicable statutes of limitation).
We retain your personal data while your membership is in existence or as needed to provide you with Services. This includes data you or others provided to us and data generated or inferred from your use of our Site and Services. Even if you only use our Site intermittently, we will retain your information and keep your membership open until you decide to close your membership.
Right to Access and Control Your Personal Data:
For personal data that we have about you:
- Delete Data: You can ask us to erase or delete all or some of your personal data (e.g., if it is no longer necessary to provide Services to you).
- Change or Correct Data: You can edit some of your personal data through your membership. You can also ask us to change, update, or fix your data, particularly if it is inaccurate, at the email address below.
- Object to, or Limit or Restrict, Use of Data: You can ask us to stop using all or some of your personal data (e.g., if we have no legal right to keep using it) or to limit our use of it (e.g., if your personal data is inaccurate or unlawfully held).
- Right to Access and/or Take Your Data: You can ask us for a copy of your personal data and can ask for a copy of personal data you provided in machine-readable form.

Membership Closure:
If you choose to delete your membership, we will delete closed membership information within 30 days of membership closure, except as noted below.
We retain your personal data even after you have closed your membership if reasonably necessary to comply with our legal obligations (including law enforcement requests), meet regulatory requirements, resolve disputes, maintain security, prevent fraud and abuse, enforce our Terms of Service, or fulfill your request to “unsubscribe” from further messages from us. We will retain de-personalized information after your membership has been closed.
Other Information
Data Security:
We implement security safeguards designed to protect your data from loss, misuse, unauthorized access, disclosure, and alteration. The security measures include firewalls, data encryption, and information access authorization controls. While we are dedicated to securing our Site and Services, you are responsible for securing and maintaining the privacy of your passwords and membership registration information and verifying that the personal data we maintain about you is accurate and current. We are not responsible for protecting any personal data that is obtained by a third party unless the user has otherwise consented.

Our Site may contain links to other websites of interest. However, once you have used these links to leave our Site, you should note that we do not have any control over that other website. Therefore, we cannot be responsible for the protection and privacy of any information that you provide whilst visiting such sites, and such sites are not governed by this Privacy Policy. Children’s Privacy:
This Site and the services related to the Site are not directed to children under the age of 18. We do not knowingly collect information, including personal data, from children or other individuals who are not legally able to use our sites and Services. If we obtain actual knowledge that we have collected personal data from a child under the age of 18, we will promptly delete it, unless we are legally obligated to retain such data.
